Hire a Zapier expert

Describe the process you want automated and we build it in Zapier — triggers, actions, filters and formatter steps. You get a tested Zap plus a simple run form in your dashboard, and we keep it working after launch.

What we build in Zapier

Multi-step Zaps

Filters, formatter steps and paths that handle every branch of a process instead of three near-duplicate Zaps.

AI and custom steps

OpenAI and webhook steps wired in for classification, extraction and summarisation, tuned against your own examples.

Custom API connections

Webhooks by Zapier and the Developer Platform for apps with no off-the-shelf action, with auth handled properly.

Task-efficient design

Filtering and deduplication placed early so the actions that cost tasks only fire when they should.

Scheduled and event-driven

Schedule triggers, instant webhooks and polling set up so runs happen without anyone remembering to start them.

Handover and maintenance

A documented Zap, a run form in your dashboard, and fixes when an app changes its fields.

Typical Zapier projects

  • Inbound form leads enriched and pushed to the CRM with deduplication
  • Email attachments saved to cloud storage and logged in a tracking sheet
  • New customer sign-ups routed to onboarding, billing and notifications at once
  • Spreadsheet rows turned into calendar events and reminder emails
  • Support tickets classified with an AI step and assigned to the right queue
  • Recurring reports assembled from several apps and posted to Slack

How the engagement runs

  1. 1. Scope call

You describe the process. We confirm whether Zapier is the right platform, list the apps and steps needed, and give you a fixed scope and date.

  2. 2. Build and test

We build the Zap and run it against your real records until the output is right — including the edge cases you'd normally catch by hand.

  3. 3. Handover

The Zap goes live in your account or ours, with a plain run form in your dashboard and a written note of what it does.

  4. 4. Maintenance

We watch the runs. When an app changes a field or a run fails, we fix it as part of your plan rather than as a new job.

Hiring a Zapier expert: common questions

What does a Zapier expert do?

They turn a business process into a working Zap: choosing triggers and actions, mapping fields between apps, adding filters and formatter steps, and handling the cases where data is missing or shaped differently than expected. We also test the Zap against your real records before it goes live.

Do I need my own Zapier account?

Either works. We can build inside your account so you own the Zap outright, or host it on our side and hand you a simple run form in your WorkFlowBot dashboard. If you already have an account, building in it is usually simplest.

Will this use up my Zapier task allowance?

Task usage is a design decision. Filtering early, deduplicating before actions, and choosing the right trigger type often cut a Zap's monthly usage substantially versus a naive build. We design for the plan you are on and tell you the expected monthly tasks before we build.

How much does it cost to hire a Zapier expert?

Fixed scope, not hourly. Plans start at $49/month and include a set number of builds and runs; larger or multi-Zap projects are quoted before any work starts. Full detail is on the pricing page.

Can you fix or take over a Zap someone else built?

Yes. Send us access to the Zap or an export. We audit what's there, flag what's fragile or wasteful on tasks, and either repair it or rebuild the parts that need it. Ongoing maintenance can then sit with us.

Zapier or n8n — which should I use?

Zapier is fast to set up and has the widest app library; n8n is stronger for self-hosting, custom code, branching logic and heavier data work. We recommend one after hearing the process, and our Zapier vs Make vs n8n comparison covers the trade-offs in detail.
