Data entry automation, built for your documents

Copying details from invoices, forms and emails into spreadsheets and systems costs your team hours every week — and introduces typos you pay for later. We build private automation tools that read your documents, validate the data and file it where it belongs, with the source attached to every record.

What we automate for data entry teams

Document extraction

Invoices, receipts, contracts and forms read with AI, then turned into clean, structured records — line items, dates, totals and references included.

Spreadsheet and database entry

Stop re-keying rows. Extracted data lands directly in Excel, Google Sheets, Airtable or a database, formatted to your columns and coded to your rules.

Email-to-record capture

Forward orders, leads or forms to a dedicated inbox. The automation reads the email and attachments and files the details where they belong.

Scanned and PDF documents

Scans go through OCR first, so paper documents and photographed forms feed the same pipeline as digital PDFs.

System-to-system re-keying

Move data between tools that don't integrate: from a legacy portal to your CRM, from your storefront to your accountant's spreadsheet.

Validation and review queues

Every record passes your business rules before delivery. Exceptions go to a review queue with the source file attached — a five-minute check, not an hour of typing.

How the automation works

You get a single tool in your dashboard. Behind it sits a pipeline we build and test against your own sample documents.

  1. 1. Capture

Documents arrive by upload, email or a shared inbox — PDFs, scans, images or spreadsheets.

  2. 2. Read

Text is parsed or OCR'd, then an AI step extracts the fields you need for your document layouts.

  3. 3. Validate

Your rules run: required fields, totals, dates, reference lists. Anything unclear is flagged, never guessed.

  4. 4. Deliver

Finished records land in your spreadsheet, CRM or system — each one linked to its source document.

What you get back

In your systems

  • Clean, structured records in your spreadsheet, CRM or back-office system
  • Field-level validation against your rules before anything is delivered
  • Source document linked to every record for audit
  • Review queue for anything the automation isn't sure about
  • Per-customer data isolation on every tool

What you provide

  • Samples of the documents you enter today
  • The destination: spreadsheet, CRM, accounting tool or database
  • Your validation rules — or we'll draft them with you
  • Ten minutes to review the first extraction results

Built for volume, not just one-off tasks

The tools we build handle the same document thousands of times a month without slowing down — and they scale with you. When you add a new document layout, we retrain the extraction and ship the update; your team keeps working from the same dashboard.

Data entry automation questions

What kinds of data entry can be automated?

Anything repetitive that moves information from one place to another: invoice and receipt capture, order forms, lead details from emails, shipping documents, application forms, survey responses, and re-keying between systems that don't talk to each other. If a person currently reads it and types it somewhere, it's a candidate.

What document types can it read?

Text-based and scanned PDFs, images (through OCR), email bodies and attachments, spreadsheets, and structured web forms. We calibrate against your real sample documents, so the extraction is built for your layouts — not a generic template.

Where does the data end up?

Wherever you work: Excel or Google Sheets, your CRM, Xero, QuickBooks, Airtable, a database, or an internal tool. We can also push to any system with an API. Every record carries its source file, so you can audit any row back to the original document.

How accurate is automated data entry?

The automation extracts, then validates: required fields present, totals add up, dates are valid, values match your reference lists. Anything that fails a rule goes to a review queue instead of your systems, so errors are caught by a person — not discovered later.

How is this different from off-the-shelf OCR software?

OCR gives you text. Automation gives you a finished record — extracted, cleaned, validated, coded and delivered to the right system. The value is the data already where it belongs, with an audit trail, not text on a page you still have to fix up.

Is our data secure?

Each customer's files and records are isolated using row-level security, and access is limited to your own users. Documents are stored against your account only, never shared across tenants.
